Employer Guide

How hiring teams sign in, open a job, invite people to interview, and review scores.

Complete these steps in the Employer Portal. You can run interviews entirely in Apployent. If you already track jobs in an ATS, connect it after the organization is set up. That is covered under Applicant Tracking Systems (ATS).

If you already have access, sign in at the Employer Portal. If your company does not have an organization yet, use Employer Sign Up on that page. A member of our team will reach out.

Teammates join when an organization admin invites them from Org Admin → Org Settings. Some organizations only allow work emails on the company domain. If you cannot sign in after being invited, ask an organization admin to resend the invite to your work email, or contact us.

Organization and projects

An organization holds your team, plan, and optional ATS connection. A project is one job opening. Each project has its own questions, people, review, and ATS Sync setting. Connecting an ATS does not attach any project. A project owner or editor still chooses a sync mode for that project.

Who can do what

  • An organization admin manages the organization under Org Admin. That includes inviting teammates in Org Settings and connecting an ATS under ATS Integration. If you do not see Org Admin, you are not an organization admin — ask someone who is.
  • A project owner created the project. They can change questions, invite people, review results, set ATS Sync, and decide who else has access under Manage Project.
  • A project editor can do the same work on the project except change who has access.
  • A project viewer can see the project and results, but cannot change settings or send invitations.

Open a job

  1. Go to New Job Opening.
  2. Add the job description and any notes you want the interview built from.
  3. Review the evaluation criteria, then finish the intake. Apployent creates the project and an interview plan from those criteria.

Open the project from View Job List, or from Home. You can change the project name later under Manage Project.

Prepare the interview

On the project, a project owner or editor sets up the interview before anyone is invited.

  • Interview Questions — add or edit the questions for this job. You can draft new ones or pull from the Questions Library.
  • Interview Settings — customize the invitation email, and the reminder and rejection templates if you use them.
  • Manage Project — change the project name, and give teammates editor or viewer access. Only the project owner can change who has access.

You need at least one question on the project before you can send invitations.

Invite people

Go to Interview Candidates. Add someone individually, upload a list, or import from a linked ATS job. Then send the invitation. They receive a link and complete the interview on their own time. They do not need an Apployent account.

If the project is linked to an ATS job, you can also import from ATS Sync, including Auto-import from a stage when that option is on. See the ATS guide for your system.

Review results

When someone finishes, the score appears under Candidates Review. Grid View lists completed results on the project. Individual View shows the detailed scorecard and transcript. Advance or Pass from review if you have mapped those decisions to ATS stages.

ATS Integration

Connecting an ATS is optional and included on the Enterprise plan. An organization admin connects it once under Org Admin → ATS Integration. That does not attach any project. A project owner or editor then chooses a sync mode on that project's ATS Sync page.

A teammate cannot see a project.

Belonging to the organization is not enough. The project owner adds them under Manage Project as an editor or viewer.

I cannot send an invitation.

Confirm you are a project owner or editor, and that the project has at least one interview question. Viewers cannot send invitations.

ATS Integration is disabled.

ATS Integration is included on the Enterprise plan. Contact us to upgrade.
